What Is the Book4Time Integration?
Book4Time is a spa and activity management system used to manage appointments such as spa treatments, fitness classes, and daypasses.
The AXP integration automatically syncs these appointments into the guest experience platform so your team has full visibility of guest bookings — without any manual data entry.
When a guest books, updates, or cancels an appointment in Book4Time, that information flows automatically into AXP as a request linked to the guest's profile.
How It Works
A guest makes, changes, or cancels a booking in Book4Time.
Book4Time sends an automatic notification (webhook) to AXP.
AXP verifies the notification is genuine, then processes it.
AXP looks up the guest's profile — by their Book4Time ID, phone number, or email — and links the appointment to it.
If no existing profile is found and auto-creation is enabled, AXP creates a new guest profile automatically.
The appointment appears in AXP as a request on the guest's profile, ready for your team to act on.
Viewing Book4Time Requests in AXP
You can see all requests that have been synced from Book4Time directly in the Requests view.
Go to the Requests tab in AXP.
Scroll to the right to find the Created by column.
Requests synced from Book4Time will show book4time as the source.
This makes it easy to identify which requests originated from the integration at a glance.
What Types of Appointments Are Supported?

What Information Is Synced?
For each appointment, AXP receives:
Guest name, email, and phone number
Appointment date and time
Service or activity name
Duration
Therapist or instructor name
Facility or room name
Confirmation number
Total price and currency
Any guest notes
Current appointment status (see below)

The integration keeps appointment status in sync between Book4Time and AXP in real time.

What Happens to the Guest Profile?
AXP identifies the guest using the following, in order:
An existing link from a previous Book4Time appointment
Book4Time customer ID
First name + last name + phone number
First name + last name + email
This means if a guest has interacted with your property before, their appointments are automatically attached to their existing profile — keeping the full guest history in one place.
Is the Sync Automatic?
Yes. No action is required from your team. Appointments flow into AXP as soon as they are created or updated in Book4Time. The integration runs in the background at all times.
Limitations
The sync is one-way only: changes made in AXP are not sent back to Book4Time.
Only appointments with a guest attached are synced. Internal resource or room bookings are ignored.
Appointments from other Book4Time locations are automatically filtered out — only events from your configured location are processed.
