How Do I Assign a Room to a Booking?

Learn how to assign specific rooms to bookings in AXP, handle room moves, and manage upgrades.

Summary: To assign a room to a booking in AXP (Alliants Experience Platform), open the booking record, click the Room field, select the room from the available inventory, and save. Room assignments may also sync automatically from your Property Management System (PMS).

Permissions Required: Roles required in AXP to assign a room to a booking are Front Desk Staff, Reservations Team.

Room assignment in AXP links a specific room to a guest's booking. This is essential for digital key issuance, housekeeping coordination, and guest communication.

Assigning a Room

Manual Room Assignment

  1. Navigate to the bookings tab

  2. Find the the specific booking - (using filters if required)

  3. Click on the booking

  4. On the right navigation tab pop up, click on the Ellipsis (...)

  5. Click on Edit Booking

  6. Scroll down to room number

  7. Add a room number to the field

  8. Save changes

Note: Any digital key systems will be updated

PMS-Synced Assignments

If your PMS integration is configured, room assignments made in the PMS automatically sync to AXP. This is the most common method for properties using a PMS.

Room Moves and Upgrades

Processing a Room Move

To move a guest to a different room, update the room assignment in the booking. AXP will automatically deactivate any digital keys for the old room and can issue new keys for the new room.

Upgrades

Room upgrades follow the same process as room moves. Update the room type and room number in the booking, and note the upgrade in the guest's profile for future reference.
